Here are the simple steps how you can create a new booking from administrator dashboard:
To add an order under a client's name from the administrator panel, you'll first need to select the client from the list of all users. The field supports search functionality; simply start typing their name, and the system will suggest options for you.
After completing Step #1, the system will prompt you to provide the essential trip details:
Full pick-up address;
Full drop-off address;
Pick-up date and time;
Number of passengers;
Return trip option;
Pick-up date and time for the return trip.
When all fields are filled, please, click "Search" button to continue and go to Step #3.
Important: You need to provide the exact pick-up and drop-off addresses for the passenger, including street, and number of house. If you don't know the exact address, you can specify a specific location on the map using the "Show on Map" feature.
Recommendation: It's best to specify the boarding time with a slight buffer (30 - 60 minutes) to account for passport control and baggage collection.
At this step, the system allows you to choose a car class from those available in the system. Each car class has a calculated cost based on trip parameters, as well as the allowed number of passengers and luggage. Cars that do not meet the basic parameters of the order will not be displayed at this step.
Once a suitable car is selected, you will need to click the "Book Now" button corresponding to that car, after which the system will proceed to Step #4.
Additionally, on the left side, you can see the addresses, estimated distance, and duration of the trip, as well as the return trip if active. If you need to go back to the previous step and change the basic trip parameters, you should click the "Edit" button.
This step includes additional details regarding the trip, such as:
Arrival from (country/city) for flights;
Airline name;
Passenger's flight number.
This information is requested only for airport transfers. For regular trips, these fields will not be displayed.
Note: This information is crucial as drivers can track your flight and monitor any delays in arrival.
Hand luggage only (indicating the passenger has no checked baggage);
Additional stops along the way (please specify exact locations);
Pets (passenger can provide information about pets that will be on trip, and quantity);
Waiting time (in case the driver needs to wait for the passenger);
Meet and greet (the driver will wait with a sign containing the text or pic provided by the passenger).
Note: Each field in the form has tooltips, which you can view by hovering over them with your mouse.
The details for the return trip are similar to those of the main trip, except for one option - "Different pick-up on return?" The passenger can specify a different pick-up address for the return trip. This is convenient when the passenger's location changes during their stay.
As with any other addresses, the passenger must provide the exact address, including the street name and building number.
This option can be enabled or disabled by the system administrator. If the option is enabled, the passenger will be offered the opportunity to find a ride-share companion. If the passenger agrees and a ride-share companion is found, both passengers will receive a specific discount on their trip. If no ride-share companion is found, the passenger will have to pay the full fare.
Note: The system automatically matches ride-share companions from a list of those willing to share their trip. The pick-up and drop-off locations of passengers are also taken into account, which must be within the radius specified by the administrator. Additionally, the car's arrival time must fall within the specified time frame. Furthermore, the selected car class must have enough space to accommodate both passengers and their luggage. Only if all conditions are met will the system merge the orders of two different passengers into one.
Finally, at the bottom of the form, passengers can provide a personal comment to the trip, use a discount coupon, and review a detailed breakdown of the trip cost.
After clicking on "Book Now" button, passenger will go to Step #5 - Booking Confirmation.
At this step, you will see a booking summary and confirmation message indicating that the order has been successfully created. Also, in the bottom right corner, you can find a button to download the booking invoice as a PDF.
The payment step was skipped as the order was created by the administrator and the system is not asking about the payment method. After completing the form, the order will automatically be assigned to the user selected in Step #1, and they will decide which payment method is most convenient for them.
When user creates a new order from his profile, the system will ask him about the payment method after Step #4.
Note: The payment step is described separately below.
If a user creates a new order from their personal account, after Step #4, they will proceed to choose the payment method and make the payment.
The system offers three payment methods to choose from: cash, card payment (Stripe), and payment via Bancontact.
If the system administrator has activated the "Mandatory Prepayment" option, in the case of cash payment, the system will ask the user to provide their valid card details and deduct an amount predetermined by the administrator as a prepayment.
Once the payment is successfully processed, the user will proceed to Step #5.
